Walmart holds its suppliers to detailed standards designed to keep products moving through its supply chain with the speed and accuracy its stores require. A key part of those standards is the Must Arrive By Date (MABD), which defines when an order must arrive at its designated destination. Consistently meeting MABD requirements is essential to maintaining compliance and doing business successfully with Walmart.

What Is Walmart MABD?

Walmart MABD Retailer Compliance is Walmart’s formal requirement that every supplier deliver purchase orders (POs) to the correct distribution centre (DC) or store within the specified delivery window. Delivery of the correct quantity is measured as part of Walmart’s broader OTIF programme.

The meaning of MABD is simple, even if the compliance surrounding it is not. The MABD appears on applicable Walmart POs and is the date by which your shipment must physically arrive at the Walmart DC. For Direct Store Delivery (DSD) suppliers, it is the date by which the order must arrive at the store.

Walmart assigns the MABD through NOVA, its order management system, and the date anchors the entire transport planning process for collect shipments. The date is not an estimate or a suggestion; it is a contractual delivery standard tied to actual store demand.

Alongside the MABD, retailers such as Walmart operate a broader compliance framework that evaluates suppliers against four expectations, often referred to as the ‘Four Rights’:

Right Item

Right Invoice

Right Condition

Right Time

MABD compliance addresses the Right Time requirement, but all four must be met on every shipment.

Why Walmart Requires MABD

Walmart manages one of the largest and most complex supply chains in the world. Its DCs receive hundreds of shipments each day, and its stores replenish stock in tight cycles. When a supplier misses a delivery window, the downstream effects compound: the DC is left short, the store shelf is empty and Walmart loses the sale.

To protect that system, Walmart shifted the cost of supply chain failures back to the source. If a supplier’s late or incomplete delivery creates a gap, the supplier pays. The MABD compliance programme is how Walmart puts accountability into practice.

Walmart is not alone in using this model. Target holds suppliers to its own delivery and vendor requirements through Target Partners Online, and Home Depot has operated a comparable compliance programme for years. The industry standard is moving towards tighter windows and higher penalties, not greater flexibility.

Why Suppliers Need to Prioritize MABD

The financial case is straightforward. OTIF is the broader performance measure linked to MABD, and a supplier falling below Walmart’s applicable OTIF targets on an annual Walmart account worth US$1 million can face thousands of dollars in deductions from OTIF alone, before labelling, Advance Shipping Notice (ASN) or routing violations are added. Chargebacks compound. A single shipment with an ASN error and a pallet-labelling problem can generate multiple deductions from the same delivery.

Beyond the direct financial impact, Walmart’s Supplier Scorecard tracks compliance performance over time. Poor scores feed into category reviews and may affect order allocations, which is a far greater financial impact than any single chargeback.

Suppliers that treat MABD compliance as an operational priority, rather than a damage-control issue, protect their margin and the relationship and position themselves for growth within the programme.

What Fields and Documents Are Required for MABD

On the PO: Every Walmart PO includes a set of date fields that govern how the shipment must be handled. Understanding each one is essential. The table below provides further detail.

Field

Definition

MABD

The target date the shipment must arrive at the DC

DNSB (Do Not Ship Before)

The earliest date you can ship the order

CPD (Carrier Pickup Date)

The date Walmart’s Transportation Management System (TMS) schedules for pickup; you must be ready

CDD (Carrier Due Date)

The carrier’s required delivery deadline, which may differ from MABD

Ship On Date

An estimated ship date shown during confirmation; may not match the CPD

Once a load is assigned, the CPD is the only date that matters. Specific connectivity and transaction requirements may vary by supplier programme.

Transaction Description

When it goes out

PO (EDI 850)

Sent by Walmart to the supplier

PO Acknowledgement (EDI 855)

Sent by the supplier to confirm receipt and acceptance

ASN (EDI 856)

Sent by the supplier after the shipment leaves the facility, before it arrives at the DC

Invoice (EDI 810)

Sent by the supplier to request payment

EDI 856 can be the most error-prone document in the Walmart compliance ecosystem and the single largest source of avoidable chargebacks. It must be sent after the shipment physically leaves your facility and before it arrives at the DC. It must also match the physical shipment exactly in terms of quantities, Serial Shipping Container Code (SSCC) references, PO numbers and timing.

Required Physical Documentation and Labeling

Beyond EDI, every shipment must meet Walmart’s physical packaging and labelling standards:

UCC-128 / SSCC-18 carton labels – Required on every case; labels must be scannable and positioned correctly.

Pallet compliance – Pallets must be built, wrapped and labelled to Walmart specifications.

Routing Guide adherence – Shipments must use Walmart-approved carriers and follow the current Routing Guide for carrier selection, appointment scheduling and pallet configuration.

Walmart’s Supplier Quality Excellence Program (SQEP) governs the physical compliance of every shipment, covering purchase order accuracy, case compliance, packaging, pallet build and load quality. SQEP and OTIF operate as separate programmes, each with its own chargeback schedule. A single problematic shipment can trigger penalties under both.

How Walmart MABD Retailer Compliance works / How the MABD is set

Walmart calculates the MABD by working backwards from store demand:

Walmart determines when the product is needed on the shelf.

It calculates when the DC must ship to the store.

It calculates when the DC must receive the goods (the MABD).

Finally, it determines when to place the order with the supplier, using lead-time settings for your ship point.

The MABD is calculated using this formula: DNSB + In-Transit Days = MABD

The DNSB itself is calculated as: DNSB = Review Day of Week + Processing Days

Processing Days cannot be fewer than four days. In-Transit Days for each origin-to-destination pair are maintained in Ship Point Management (ASPEN/Supplier One, a digital tool that allows suppliers to manage their physical shipping facilities, schedules and fulfilment locations for Walmart orders). If the Review Day plus Processing Days falls on a day when your ship point is closed, the PO cannot ship until the next operational day, reducing the available transit time and increasing the risk of late arrival.

How Routing Works

Once you confirm a PO into routing, the MABD determines how Walmart’s Transportation Optimization builds loads:

Transportation uses the MABD to calculate the Load Pickup Window, the range of dates in which a PO can be collected and still arrive on time.

Load dates are calculated as the MABD minus transit time at the point when the PO is routed.

After load assignment, only the CPD matters.

Do not open tickets, reconfirm POs or change the MABD while load-building is in progress. Changes at this stage delay load assignment and collection.

Load Assignment Timing

POs under 90% of a full truckload (3,015 cubic feet or 40,500 lb): Expect assignment between six days before the Pickup Window Start Date and two days before the Pickup Window End Date.

POs at or above 90% of a full truckload: Expect assignment between 14 days before the Pickup Window Start Date and two days before the Pickup Window End Date.

If you are within two days of the Load Pickup Window End Date and no load has been assigned, open a ticket in the Walmart TeamSupport portal.

PO Confirmation Rules

Standard POs: Confirm up to 60 days before the MABD.

Manual POs: Confirm up to 30 days before the MABD. If you receive a manual PO with fewer than 30 days until the MABD, confirm it by 4:00 pm CST on the next calendar day.

The DNSB must be at least three business days in the future at the time of confirmation, based on ship-point operating hours.

Do not confirm a PO if the product is not available to ship by the DNSB.

A PO with an expired MABD cannot be confirmed into routing. Contact Walmart Replenishment to extend the dates first.

When the MABD Needs to Change

If the MABD on a PO must be updated after routing is active:

Open a ticket in the Walmart TeamSupport portal to cancel the current routing.

Contact your Replenishment Manager, or access NOVA directly if you have access, to request an extension to the MABD and DNSB.

Once routing is cancelled and the new dates are confirmed, reconfirm the PO in the Walmart Transportation Supply Chain Portal (TSCP 2.0) with the updated MABD.

NOTE: Changes to the MABD after a PO is assigned to a load do not change the dates to which carriers are held accountable. Load dates lock at the time of routing.

What processes and tasks does MABD compliance remove?

When suppliers get MABD compliance right and automate the supporting workflows, several costly manual processes fall away:

Manual PO date tracking – Without automation, teams spend hours cross-referencing MABD windows, DNSB dates and CPDs across spreadsheets. Automated EDI integration pulls PO data directly into your systems and brings compliance-relevant dates together in one place.

Manual ASN creation – Manually re-entering ASN data is the most common source of OTIF deductions. When ASNs are generated automatically from actual Warehouse Management System (WMS) shipment data, businesses can reduce the errors that trigger chargebacks.

Reactive chargeback management – Suppliers without timely compliance visibility spend significant time and resources disputing deductions after the fact. Disputes require the PO, Bill of Lading (BOL), Proof of Delivery (POD), ASN records and photographs, and must be filed through Walmart’s Accounts Payable Disputes Portal (APDP) within 15 to 30 days of the deduction being posted. Prevention is always cheaper than recovery.

Carrier coordination friction – When Routing Guide data is integrated into your shipping workflow, carrier selection, appointment scheduling and pallet configuration requirements can be applied more consistently rather than checked manually against a document that may be out of date.

Compliance performance monitoring – Walmart’s Retail Link platform provides access to MABD compliance reports and OTIF performance data. When that data feeds into your operational systems, you can identify problems before they compound, rather than discovering them four to five weeks later on an invoice.

What EDI Does in the Walmart Compliance Workflow

EDI connects your systems directly to Walmart’s. When a PO is issued, EDI 850 arrives in your system automatically. Your acknowledgement is returned via EDI 855. When a shipment leaves your facility, your WMS generates EDI 856 from actual shipment data and transmits it without manual intervention. EDI 810 follows in accordance with Walmart’s invoicing requirements.

Each of those transactions carries compliance-critical data: PO references, SSCC numbers, case quantities, despatch dates and carrier details. When that data flows accurately and automatically, it is more likely to match what Walmart’s system expects, reducing chargebacks linked to data errors.

Why ASN Accuracy Is the Most Important EDI Function

Walmart’s EDI 856 requirements are strict:

The ASN must be transmitted after the shipment leaves your facility and before it arrives at the DC.

It must match the physical shipment exactly in terms of SSCC-18 labels, case quantities, PO references and timing.

A single incorrect SSCC or a transmission that arrives minutes after the DC scans the shipment generates a deduction.

Suppliers that enter ASN data manually, even once per week, expose themselves to four-figure monthly chargebacks from that single source of error alone. Automating ASN generation from your WMS, linked to actual scan data at the point of shipment, is one of the highest-impact steps most suppliers can take to improve OTIF performance.

Selling to Walmart is one of the biggest opportunities in retail, but it also comes with rigorous operational requirements.
