About the Customer
Xperience Restaurant Group (XRG) is a leading operator of full-service Mexican restaurants and taquerías across the United States. With 57 locations spanning seven brands, including El Torito, Chevys and Acapulco, XRG combines a long-standing culinary heritage with a commitment to innovation and operational efficiency.
The Challenge
As part of a transition to an in-house Oracle Fusion ERP system, XRG identified an opportunity to improve efficiency by automating invoice processing. Previously, the company relied on manual workflows to process thousands of supplier invoices each week, which led to:
- Significant manual data entry in accounts payable
- Lack of standardization across invoice formats
- Increased risk of errors and delays
- High operational costs and resource demands
- Limited visibility into financial data
XRG needed a scalable, automated solution that could integrate with its ERP system and enable seamless collaboration with both large and small suppliers.
The Solution
XRG implemented the TrueCommerce OneTime supplier enablement managed service, fully integrated with its Oracle Fusion ERP system.
The solution provided:
- Automated EDI-based invoice processing with major suppliers
- Direct import of invoice data into the accounts payable module
- A managed service team to onboard suppliers and handle ongoing support
- A supplier portal to enable smaller vendors to submit invoices electronically
- Proactive monitoring of transactions to prevent disruptions
This “no-touch” approach eliminated the need for internal resources to manage EDI processes, while ensuring consistent, standardized data flow across all supplier relationships.
Detailed Results & Business Impact
By automating invoice processing, XRG transformed a labor-intensive, manual workflow into a streamlined, efficient process.
Invoices from major suppliers now flow directly into the ERP system without manual data entry, significantly reducing administrative workload and improving accuracy. This automation enabled the accounts payable team to operate more efficiently, while also accelerating access to financial data for better decision-making.
The managed service model further reduced operational complexity by handling supplier onboarding, communication, and issue resolution externally. This allowed XRG’s internal teams to focus on higher-value initiatives rather than maintaining EDI infrastructure or troubleshooting supplier issues.
Additionally, the standardized data exchange improved consistency and reliability across financial processes, reducing errors and ensuring that invoice data is available faster and in a more usable format.
The implementation was completed quickly—within three months—and delivered rapid return on investment, driven by both cost savings and operational improvements.
